How to set up after-hours call coverage for a small agency

· 5 min read

Customers call when they have time, which is often after you close. A small agency can't staff the phones all night, but it can make sure nobody hangs up feeling ignored.

Know who calls after hours

  • New shoppers who saw an ad or got a referral.
  • Customers with a quick service request, such as an ID card or a payment question.
  • Customers who just had an accident or a loss.

Each needs something different, so the after-hours setup should sort them, not just take a message.

The options

  • Voicemail with transcription: cheapest, and the message is waiting in writing in the morning.
  • Forwarding to someone's cell: personal, but hard to sustain and easy to miss.
  • An answering service: a person answers, but usually without access to your records.
  • An AI voice agent: answers every call, learns what the caller needs and books a callback, on the hours you choose.

What every caller should hear

  • Your agency's name and that the office is closed.
  • For claims, the carrier's 24-hour claims number, or how to find it.
  • When the office opens and that someone will call them back.

Claims can't wait until morning, and the carrier's claims line is open around the clock. Make it easy to reach.

The next morning

Assign someone to work the overnight messages first thing, before new calls start. Call back new shoppers first, since they are the most likely to keep shopping elsewhere, then service requests. Note each callback on the customer's record.

In Insurance CRM, voicemails are transcribed, and an AI voice agent can answer on the after-hours schedule you set.
